1. General information

This policy applies to the website available at thesilentsouls.com, dedicated to the game Silent Souls.

The operator is the controller of your personal data with regard to data provided voluntarily on the website.

The website uses personal data for the following purposes:

  • running the newsletter (news about Silent Souls, its release, development progress and new material),
  • presenting information about the game and publishing Chronicle entries,
  • handling comments under entries (if enabled),
  • handling correspondence sent to the operator.

The website obtains information about users and their behaviour in the following ways:

  1. through data voluntarily entered in forms, which is stored in the operator's systems,
  2. by saving cookies and browser storage data on end devices.

2. Selected data protection methods used by the operator

Places where personal data is entered are protected in the transmission layer (SSL certificate). Personal data entered on the website is encrypted on the user's computer and can only be read on the target server.

An important element of data protection is the regular update of all software used by the operator to process personal data, including regular updates of software components. Fonts and other assets are served from our own server, not from third parties.

3. Hosting

The website is hosted (technically maintained) on the servers of an external hosting company.

To ensure technical reliability, the hosting company keeps server-level logs. The following may be recorded:

  • resources identified by URL (addresses of requested pages and files),
  • time of the request and time of the response,
  • client station name - identification performed via the HTTP protocol,
  • information about errors that occurred during HTTP transactions,
  • the URL of the page previously visited by the user (referer link), if the website was reached through a link,
  • information about the user's browser,
  • information about the IP address,
  • information related to e-mail sent to and by the operator.

4. Your rights and additional information on how data is used

In some situations the controller may transfer your personal data to other recipients if this is necessary to achieve the purposes described above or to fulfil the controller's obligations. This applies to the following groups of recipients:

  • the hosting company, as a processor,
  • companies providing newsletter and e-mail delivery services to the controller.

The legal basis for processing data for the newsletter is your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time by clicking the unsubscribe link in any message or by contacting the operator. Withdrawal does not affect the lawfulness of processing carried out before it. Log and technical data are processed on the basis of the controller's legitimate interest (Art. 6(1)(f) GDPR), namely ensuring the security and operation of the website.

Your personal data is processed no longer than necessary for the related activities defined by separate regulations. Newsletter data is kept until you unsubscribe, and marketing data is not processed for longer than 3 years from the last message.

You have the right to request from the controller:

  • access to your personal data,
  • its rectification,
  • its erasure,
  • restriction of processing,
  • and data portability.

You have the right to object to processing carried out for the controller's legitimate interests, unless there are compelling legitimate grounds for processing that override your interests, rights and freedoms, in particular the establishment, exercise or defence of legal claims.

You have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warsaw, Poland.

Providing personal data is voluntary, but necessary to subscribe to the newsletter.

No automated decision-making, including profiling, is carried out in relation to you.

Personal data is not transferred to third countries within the meaning of data protection law, except for the services described in section 7, which you use only on your own initiative.

5. Information in forms

The website collects information provided voluntarily by the user, including personal data, if provided.

For the newsletter we store your e-mail address, the language version of the site you used, and the date and time of subscription and confirmation. Subscription must be confirmed by clicking a link sent to the address provided (double opt-in). Every message contains a one-click unsubscribe link.

The website may record connection parameters (timestamp, IP address) - the IP address is used only in hashed form to protect the form against abuse.

Data entered in a form is processed for the purpose resulting from that form's function. The context and description of each form clearly state what it is for.

6. Administrator logs

Information about user behaviour on the website may be logged. This data is used to administer the website.

7. Third-party services

The website does not use third-party analytics tools or advertising pixels. If this changes, this policy will be updated.

If the game trailer is embedded from YouTube (Google Ireland Limited), the player is loaded in privacy-enhanced mode (youtube-nocookie.com) and only after you click the play button. From that moment Google's privacy policy applies. Social media links in the footer lead to external services that operate under their own privacy policies.

8. Cookies

The website uses cookies.

Cookies are IT data, in particular text files, stored on the user's end device and intended for using the website. Cookies usually contain the name of the website they come from, their storage time on the end device and a unique number.

The entity placing cookies on the user's end device and accessing them is the website operator.

Cookies and browser storage are used for the following purposes:

  1. remembering your choice of language version (so the question about the Polish version is not shown again),
  2. remembering comment form details if you ask for it,
  3. maintaining sessions of users logged in to the administration panel.

Two basic types of cookies are used: session cookies and persistent cookies. Session cookies are temporary files stored until you log out, leave the website or close the browser. Persistent cookies are stored for the time specified in their parameters or until deleted by the user.
